How do I get started?
If you've just registered as a new user and would like to take out a KYP subscription for your legal structure for the first time, you'll get 2 months free with the “Essential” option. This free trial will enable you to test all available functions.

How do I create a Vivelys Cloud account?
You need to go to cloud.vivelys.com, click on “Create my account” and follow the steps indicated.
- If you are the administrator of the legal structure, you must take out a KYP subscription (or start the free period) to begin enjoying the benefits of the tool.
- If you are an employee of the legal structure, the administrator must send you an invitation and authorize you to participate.

How do I download KYP to my phone and connect?

The minimum operating system versions required to install it are :

Is the application available in several languages?
KYP is available in English, French and Spanish. You can configure it from your account settings.
You also have the option of setting your unit of measurement preferences to correctly enter technical information about your winery and vineyard.

Subscriptions & subscription management
- What's the difference between the different offers?
You can choose between subscriptions with no commitment or with a 12-month commitment.
For online subscriptions, there is the Essentiel or Premium subscription for your legal structure.
If our online options don't suit your needs, or if you're a consultant oenologist and would like to use the tool with your customers, please contact us (contact form or mail to ADV)

- How do I change my subscription?
You can change your subscription online, subject to the following rules:
o If you take a higher subscription, the change will take effect immediately.
o If you take a lower subscription, the change will take effect from the date of the next payment.
o If you are not committed and you take a subscription with commitment, the change will be effective from the date of the next debit.
o If you are committed for 12 months and you take a subscription without commitment, the change will be effective from the end date of the commitment.
- How do I cancel my subscription?
If you decide to cancel your subscription, please note that it will take effect from:
o The date of the next direct debit for non-binding subscriptions
o The date of the end of the commitment period for subscriptions with a commitment period.
Your data stored on the Cloud will be kept for 12 months from the effective date of termination, and can be consulted at any time.
If my subscription is cancelled, can I continue to consult my data?
If you have cancelled your subscription, or if your free trial period has come to an end, we will keep your registered data for 12 months, and you can continue to view it in your account.After these 12 months, if the account has not been reactivated by taking out a subscription, we will permanently delete the account and all the information stored in it.
- Can I export the data entered in my account?
You can download all the data entered in your account as a JSON file.

Account management
What type of roles and accesses exist?
o Administrator: person responsible for the technical and/or administrative aspects of the legal structure. He/she will create the legal structure and manage subscriptions and payments. He/she will also have access to the Cloud (for user management and property configuration) and to all functionalities available on KYP.
o Authorized user: person technically responsible for the legal structure. He/she will have access to the Cloud (for user management and property configuration) and to all functionalities available on KYP.
o Operator: person internal to the legal structure who collaborates in the operational part. He/she will only have access to KYP for data entry and consultation.
o Guest: person external to the legal structure who collaborates through their advice or supervision. They will only have access to KYP for data consultation.
Can I invite a new user? How do I modify a user's access?
The administrator will give their collaborators access to their legal structure by sending invitation links to each of them, by entering the e-mail address of the invited user's account on the specific Cloud section. Once the invitations sent by e-mail have been accepted by the collaborators, the administrator must authorize their definitive participation in the Cloud.
Similarly, the administrator will be able to modify the role of each invited person or deny access from the Cloud user management section.
Users with authority can also manage other users, once the administrator has given them access.

- How do I delete my account?
You can do so in the "personal data" section of your profile. You can also download your data before deleting your account.
- Configure 2-step validation (2FA)
You can do this from the "Two-factor authentication" section of your profile.
- How do I reactivate my account?
An account that has been terminated can only be reactivated by taking out a subscription for the legal structure to which it belongs. This action can only be carried out by the administrator of the legal entity.
- Can I connect from several devices?
Yes, there are no limitations.

You can do this through your account profile.

- How do I configure the receipt of notifications?
You can activate and deactivate the notifications you wish to receive on KYP, as well as the different ways of receiving these notifications and the frequency of reminders. You can do this from your KYP profile, in the “Manage notifications” section.
Each user can manage notifications independently of others who are part of the same legal structure.
- How do I update my e-mail address?

Creating properties, wineries and vineyards
- How do I configure my winery and vineyard?
To create the tanks for a winery and the plots for a vineyard, go to the Domain configuration page on the Cloud page.
You can create several estates in one account. You can also create several wineries and vineyards within a single estate.
Only the administrator of the legal structure and users with authority can do this.
- Can I delete tanks or plots created on a winery or vineyard?
You can modify the information entered for each tank or plot, or delete a tank or plot completely.
- How do I configure my winery and vineyard?

Batch creation
- How do I fill my tanks?
On an empty tank, you can make one or more additions of grapes, must or wine. Once you've filled the tank, you need to close it using the “Close tank” form for the batch to be created.
- Can I move a batch from one tank to another?
To move a batch completely or partially from one vat to another, you need to position yourself on the destination tank (empty or full), make a “must tank” or “wine tank” input and select the original tank from the list. For the movement to be validated, the destination tank must be closed.
- How do I delete a batch?
Batch deletion is performed via the “Empty tank” operation (Other operations).
ATTENTION: this action permanently deletes all batch information, which cannot be recovered.
- How do I fill my tanks?

FA and aging monitoring
- What is the purpose of AF monitoring and aging monitoring?
Thanks to these two functions, you'll have information on your tanks during fermentation (fermentation stages, fermentation speed and identification of peak AF) and during aging (risk of oxidation and microbiological contamination). These are obtained through data analysis by our algorithms. They will be available in the form of visual indicators and alerts that you will receive on your computer and phone.
- How do I activate FA or aging monitoring?
They will be activated when the tank is closed.
Is the information requested at the time of activation compulsory?
Yes, they are necessary to give you precise indicators that best represent the situation of your tank.
You have 72 hours from the date and time of tank closure to provide this information. If this is not done, monitoring will be automatically deactivated.
ATTENTION: You can continue to enter and view information in your tanks, but you will not benefit from the indicators and alerts.
- What is the purpose of AF monitoring and aging monitoring?

- What types of data can I save on KYP?
You can register:
- Information identifying your tanks and plots
- Measurements (e.g. density, temperature, dissolved oxygen, etc.)
- Analyses carried out by you or your laboratory
- Operations

- How to enter data?
You can enter data either from your web application or from your mobile application. The latter is more ergonomic and better suited to entering your data.
- How do I obtain the QR codes for each tank?
You can generate and print them yourself from the QR code button in the individual tank view on your computer.
- Can I view my data from the mobile application?
All data entered via the web application or the mobile application by all collaborators will be visible on your computer or mobile phone.
Please note that the web application is best suited to data supervision and analysis. In fact, the web application has exclusive views such as the cellar plan, the tank list and the graphs for each tank.
- What types of data can I save on KYP?

Importing data
Can I import analytical data supplied by my laboratory?
You can import the results of analyses carried out by your laboratory on each tank concerned via the “Imports” button in the KYP menu.You must match the columns in the file with the type of analysis to be imported into KYP. You only have to do this once!
What are the prerequisites for successfully importing my file?
Files must be in .xlsx or .csv format, and information must be organized in columns with the following format:- Date and time
- Tank name
- Batch name (optional)
- Analysis value without units (one column per analysis)

Billing and payments

To take out a subscription, we'll ask you to create a legal structure and fill in the relevant information. As an administrator, you can do this from the “Manage my structure” section of the Cloud profile.
- What are the payment options?
If you carry out the transaction online from the Cloud, payment is by credit card only. If you would like to make another type of payment, please contact us at: contact@vivelys.com
- Where can I find my invoices?
You'll find all your invoices in the section accessible via the “Invoice history” button, in the “Subscriptions” section of your Cloud space.
Why has my subscription been automatically cancelled?
A subscription may be automatically terminated due to a payment incident. This means that we have not been able to deduct the corresponding monthly amount from your account.If you are taking advantage of a free trial period, it will be automatically terminated after 2 months' use.
Why did my payment method fail?
There are several reasons why your payment may fail:o The card has expired
o The card details have been entered incorrectly
o The card does not have sufficient funds to complete the purchase.
o The card has been declined because the transaction requires authentication.
o The card has been declined for an unknown reason.The first step is to check that your card is still valid and that you have sufficient funds.
